Visa Information


Prepare Now

Getting your travel documents well in advance of your travel dates is important. If you require a visa, the application process could be lengthy. In some countries, it can take many months. We strongly suggest you begin as soon as possible.


Who Requires a Visa?

Countries who do not require a visa to enter Poland can be found here. If your country is not listed, you most likely require a visa to enter Poland.

Poland is part of the Schengen Area.

Applying for a Visa

Applicants for visitor visas should generally apply at the Poland Embassy or Consulate with jurisdiction over their place of permanent residence. Although visa applicants may apply at any Poland consular office abroad, it may be more difficult to qualify for the visa outside the country of permanent residence. Visa applications are now subject to a greater degree of review than in the past so it is important to apply for your visa well in advance of your travel departure date.

Letter of Invitation

In some cases, attendees may require a letter of invitation from WOCCU to facilitate the processing of the visa. To request a Letter of Invitation, please do the following:

  1. Register for the conference and submit payment.
  2. Download and complete the Request for Letter of Invitation Form.
  3. Email or fax the completed form to Allison McCarty, Conference Specialist, at amccarty@woccu.org or +1-608-395-2001.

Letters of Invitation will only be issued once the above documentation, conference registration and payment have been received. Issuance of a visa letter is subject to review by WOCCU. Incomplete or unsubstantiated requests may not be processed. All letters will be emailed as a PDF, no exceptions.

Denied a Visa?

If you were denied a visa to enter Poland, you should ask your embassy or consulate what the appeal process is and how long it will take.

If you have paid your conference registration fees and are not able to obtain a visa, you will need to contact Allison McCarty at amccarty@woccu.org immediately about a possible registration refund. Visa denial does not guarantee a refund of any conference fees and each request will be reviewed on a case by case basis.

Traveling with Children

If entering Poland with children under age 18, it is highly important that you ensure you have all the proper documents before leaving home. In many cases, children under age 18 will be required to have a passport to enter Poland. If children are traveling without their parent(s) or legal guardian(s), additional paperwork, such as a birth certificate copy and/or notarized letter from parent, may be required.
